The Affiliate Resource Manual is designed to provide affiliate leaders with resources and information relating to finances, continuing education programs and services.

Treasurers, to assist you in your position, the AAE is pleased to provide a voluntary dues collection program. This service allows participating affiliates to transfer the dues collection process to the AAE—with the AAE collecting membership dues on your behalf.
This program was initiated for the purpose of relieving your affiliate association of the administrative burden of processing dues invoices, which can ultimately help increase your association revenue and membership. The goal of this program is to provide the New Jersey Association of Endodontists with resources that will allow for a broader range of endodontic specialty activity and to establish a greater connection with the AAE.
How does the program work?
- An affiliate dues line item is added to the standard AAE invoice for Active, Educator and Life members in the participating state. Retired and endodontic resident members can also join state affiliates and can be invoiced for state dues at the affiliate’s request.
- Reminders are mailed and e-mailed by AAE staff based on the AAE dues collection schedule.
- In October and January, checks are mailed to you for the total amount of dues collected, along with a roster listing affiliate members that have paid dues through the program. If the AAE receives dues between February 28 and April 30, a final check will be mailed at the end of the membership year.
- For each individual member invoiced, there is a $2 administrative fee to cover the AAE’s costs. If you choose to offer specific membership rates to each individual membership type, the cost is $3 per member invoiced.
- Please also note the option of adding Directors and Officers Insurance through the AAE.

Directors & Officers Insurance is offered by the AAE through CNA Insurance Company. The policy can protect affiliate officers, directors and volunteers for all decisions that are made at the affiliate board level.
- A partial list of what is covered includes:
- Libel
- Slander
- Infringement of copyright
- Unauthorized use of title
- Wrongful dismissal or discharge of employment
The insurance covers Damages and Defense costs within the limits of the policy. Claims are only covered during the policy period, so a policy should never lapse, or the affiliate chances the possibility of an uncovered lawsuit. There is a nominal fee to each Affiliate that requests coverage. Additional information on the program and an application can be obtained from AAE Headquarters.
Affiliates and Districts are eligible for assistance from AAE Headquarters to deploy emails on behalf of the affiliate or district. Requests need to be received by AAE staff 3 or more weeks in advance for fulfillment from current leadership, providing all required documents and information.
AAE Services Offered:
All Affiliate Email – Emails are sent only to paid and unpaid active members in the affiliate state on behalf of state affiliate. Unlimited sends.
All District Email – Email is sent to state’s district. Approval is needed by both District Directors for send. Unlimited sends.
All AAE Mass Member Email – Email is sent to all AAE members. Limit 1 per fiscal year.
Affiliate mass emails must be approved by an affiliate officer and reviewed by staff for accuracy and consistency with AAE policy. Affiliate emails will be sent to members from affiliates@aae.org using the affiliate’s masthead.
Unless otherwise indicated, the message will be sent to members from the affiliate’s state only. District mass emails must be approved by both district directors and reviewed by staff for accuracy and consistency with AAE policy.
AAE affiliates, districts, schools, companies, and other groups may wish to apply for national ADA CERP recognition. To be an approved provider, applicants must meet the eligibility requirements identified on page one of the ADA CERP Recognition Standards and Procedures. Applicants must also meet all of the standards and criteria for recognition. In addition to applying for sole recognition status through ADA CERP, AAE affiliates, districts, schools, companies and other groups can work with an ADA CERP recognized provider to jointly sponsor a CE program. In Joint Sponsorship, the CERP recognized provider assumes responsibility for the planning, organizing, administrating, publicizing, presenting, and keeping records for the planned continuing dental education activity. ADA CERP EXTENDED APPROVAL: AAE districts have the option of applying for extended approval through the AAE, Only ADA constituent (state) societies and ADA recognized specialty organizations that have been granted ADA CERP recognition are eligible to review and extend ADA CERP recognition to their components societies (local societies). The extension of ADA CERP recognition by the AAE is limited to its districts that offer continuing education primarily to their own members. It does not include districts that sponsor CE programs targeting dentists from other states, particularly components with large, regional dental meetings. Through the extended approval process, the AAE accepts responsibility to ensure that the CE activities offered by the district will be conducted in accordance with established ADA CERP standards and criteria.
